Case Notifications

On the sidebar menu, click Case Notifications. The notifications icon (briefcase) indicates that the case has notifications.

To update the notifications list with new items, click the Refresh List button.

You can sort and filter the notifications list. See Sort and Filter.

To view the case or person file, click the number in the ID # column.

Notifications are grouped by worker.

If the worker who launched a worker communication entered a due date, the status is shown in the Due Date Status column (hourglass icon). The icon is orange until 5 days before the due date. Then, the icon changes to red. To view the due date, hover over the icon.

Content items up to 524 MB open in the content viewer. Content items over 524 MB are downloaded to your Windows Downloads folder.

1. In the notifications list, open the drawer for the worker whose notifications you want to open.

   

2. Do one of the following:
   • One item: Click the name in the Type column. The notification opens in a new tab.

     

   • Best practice: If you want to view multiple items, first open one item, and log in to the IBM Content Navigator (ICN). Then open the rest of the items.
   • Multiple items (up to 15): Select the check boxes next to the items that you want to open. To select all items, click the top check box. On the content menu, click View Selected (eye icon). Each notification opens in a new tab.

     

3. If the Welcome to IBM Content Navigator window appears, type your network ID and password, and click the Log In button.

   

4. Do one of the following:

   • View notification history: Click the Notification History tab (actual text on tab may vary from illustration). To view history details, click the arrow at the end of the history item row.

     

   • Close the notification without completing it: Click the Unlock and Close button. On the notifications list, click the Refresh List button to display the full notifications list.

     

   • Complete the notification (next).
   • Transfer the notification to another worker (below).

1. To add a detail about the notification, click the Add Detail button on the sidebar menu, type the detail (up to 100 characters), and click the Save Detail button.

2. When you are done processing the notification, do one of the following:
   

   • Most notifications: Click Complete on the sidebar menu.
   • Revert/Delete notifications: Click Acknowledge result on the sidebar menu.
   The notification is removed from the notifications list and an entry is added to the Recent Actions table on the My ECF page.

   

I accidentally completed a notification. How do I see the associated content?

You can no longer see the notification, but you can see the content associated with the notification. Go to the Recent Actions table on the My ECF page. Click the number in the ID # column to view the case or person file.

You can transfer a notification to another worker.

1. On the sidebar menu, click Transfer Notification.

   

2. Optional: To include a message to the worker, click the Add Detail button on the sidebar menu, type the detail (up to 100 characters), and click the Save Detail button.

3. In the Search By list, select an option:

   • Last Name, First Name, Network ID, or State ID: Go to step 4.
   • My Favorites: Go to step 6.

4. In the Search field, type the required information. After you type the minimum number of characters (minimum varies), suggestions appear and the Search button becomes active. To clear the Search field, click the x next to the field.

   

5. Either click the Search button or click a suggestion.

6. In the worker search results or favorite workers table, select a worker.

   

7. Click the Transfer to Worker button. The notification unlocks and closes. It is removed from your notifications list and added to the selected worker’s notifications list

You can transfer up to 50 notifications to another worker.

1. On the content menu, click Transfer items (arrow icon).

   

2. Open the drawer for the worker whose notifications you want to transfer.

   

3. Select the notifications that you want to transfer.

   

4. Click the Select Recipient button.

5. Click a Show Workers from button to filter the worker list:

   • My Favorites: Default filter. Workers that you have added as favorites. Go to step 9.
   • Worker Search: All workers. Go to step 6.

   

6. In the Search By list, select Last Name, First Name, Network ID, or State ID.

   

7. In the Search field, type the required information. After you type the minimum number of characters (minimum number varies), suggestions appear and the Search button becomes active. To clear the Search field, click the x next to the field.

   

8. Either click the Search button or click a suggestion.

9. You can sort and filter the worker table. See Sort and Filter.

10. Select a worker to be the recipient of the notifications transfer.

11. To add or remove a worker favorite, click the star next to the state ID.

    

12. To change the recipient of the notifications transfer, click the Remove button (trash icon) in the Recipient table. Go to step 5.

    

13. Click the Review Transfer button.

14. In the Optional Details box, you can enter information that is helpful to the transfer recipient. Example: Coverage notifications for Shakil’s vacation.

    The detail appears on the Notifications page.

    

15. Update the transfer selections, as needed.
    • To change the notifications that you want to transfer, click the Notification Selection step. Go to step 2.
    • To change the recipient, click the Recipient Selection step. Go to step 5.

    

16. Click the Submit Transfer button.

• Opening a notification locks it, so other workers cannot open it.
• Closing a notification with the Unlock and Close button unlocks it.
• Unless the worker unlocks the notification, it remains locked for 24 hours and then automatically unlocks overnight.
• A lock icon indicates that the notification is locked.
• To view the network ID of the worker who has locked a notification, hover over the lock icon. If you need the notification unlocked sooner than the automatic release time, contact the worker. To view the worker’s contact information, click the link in the Type column. In the popup message, click the worker’s network ID.

To add or remove a case favorite, click the star next to the case number.

You can also add or remove a case favorite on the Case Content page.

You can favorite up to 25 cases throughout ECF Next. As you approach the maximum, a message appears saying how many more favorites you can add.

Case favorites appear on the My ECF page in the Favorite Cases table. See Favorite Cases.

While transferring multiple notifications, you can add or remove worker favorites. See Transferring Multiple Notifications (above).

You can favorite up to 25 workers throughout ECF Next.

Worker favorites appear in the Favorite Lists on the sidebar menu.
