Mystery Items

1. On the navigation bar, click the Notifications button.

2. On the sidebar menu, click Unknown under Mystery Items.

   

Unknown is the default mystery items list. Unknown means that the work area is unknown.

To view mystery items for your work area, click Change List and select your work area.

To update the notifications list with new items, click the Refresh List button.

To update the notifications counts on the sidebar menu, click the Refresh Sidebar button.

You can sort and filter the notifications list. See Sort and Filter.

To view the case or person file, click the number in the ID # column.

Question mark:

• Question mark: Content has not appeared in a case or person file.
• Lock icon: Another worker has opened the mystery item.
• Blank: Content has appeared in a case or person file.

Error:

• Case: Case identifier is missing, invalid, or not found in SMI.
• Error: System error, source system invalid , or case/person missing.
• Mismatch: Case type with person identifier or person type with case identifier.
• SMI: Person identifier is missing, invalid, or not found in SMI.
• Type: Form type is missing.
• Worker: No ECF user or psuedo-worker to notify.

Type: Name of content item.

Received: Date that notification was received.

Assigned: Date that notification was added to mystery item list.

Name: Name of client associated with SMI identifier.

ID #: Source system and identifier of linked case or person.

Batch #: IO-assigned document batch identifier.

Details: Information about error.

To show or hide mystery items with no known ECF worker (Worker error type), click the Show or Hide button. The selected option has white type with a dark background.

When you change to another mystery items list, you may need to change the Show/Hide setting.

When should I hide mystery items with no known worker?

Hide mystery items with no known worker when you want to focus on items that do not already appear in a case or person file.

Content items up to 524 MB open in the content viewer. Content items over 524 MB are downloaded to your Windows Downloads folder.

1. In the mystery items list, do one of the following:
   • One item: Click the error type in the Error column. The mystery item opens in a new tab.

     

   • Best practice: If you want to open multiple items, first open one item, and log in to the IBM Content Navigator. Then open the rest of the items.
   • Multiple items (up to 15): Select the check boxes next to the items that you want to open. To select all items, click the top check box. On the content menu, click View Selected (eye icon). Each mystery item opens in a new tab.

     

2. If the Welcome to IBM Content Navigator window appears, type your network ID and password, and click the Log In button.

   

3. Do one of the following:

   • View mystery history: Click the Mystery History tab. To view history details, click the arrow at the end of the history item row.

     

   • Close the mystery item without completing it: Click the Unlock and Close button. On the mystery items list, click the Refresh List button to display the full mystery items list.

     

   • Add missing information and complete the mystery item (next).
   • Transfer the mystery item to another mystery items list (below).

1. On the sidebar menu, open the Case selection drawer.
2. Select a source, if necessary, and enter a case ID. If you do not know the case ID, find it in the source system or use search in the main ECF tab.

3. Click the Save Case button. The case ID appears on the sidebar menu. The case count appears in the Case selection drawer.

   

4. To remove a case, click the Remove button (trash icon).
5. To add additional cases, go to step 2.
   • You cannot change the source for additional cases.
   • You can add up to four additional cases on the Mystery Items page (five total). To add more cases, go to the case content page for the case, open the content properties drawer for the content item, and add an index value. See Modifying Properties.
6. When you are done, add a detail (optional) and complete the mystery item (below).

1. On the sidebar menu, open the Person selection drawer.
2. Select a source, if necessary, and enter a person ID. If you do not know the person ID, find it in the source system or use search in the main ECF tab.

3. Click the Save Person button. The person ID appears on the sidebar menu. The person count appears in the Person selection drawer.

   

4. To remove a person, click the Remove button (trash icon).
5. To add additional persons, go to step 2.
   • You cannot change the source for additional persons.
   • You can add up to four additional persons on the Mystery Items page (five total). To add more persons, go to the person content page for the person, open the content properties drawer for the content item, and add an index value. See Modifying Properties.
6. When you are done, add a detail (optional) and complete the mystery item (below).

1. On the sidebar menu, click the Select Content Type button.

   

2. Click a Show Content From button to filter the content type list:

   • My Favorites: Default filter. Content types that you have added as favorites. See Adding or Removing Content Type Favorites (below).
   • My Work Area: Content types that your work area uses. You can set your work area on the Settings page. See Settings.
   • All: All content types.

   

3. If you selected All, you can sort and filter the content type list. See Sort and Filter.

4. Select a content type.

   

5. Click the Save Content Type button. The content type appears on the sidebar menu.

   

6. To remove the content type, click the Remove button (trash icon).
7. When you are done, add a detail (optional) and complete the mystery item (below).

When the mystery item is missing a worker, but a Hennepin County worker is not assigned to the case, bypass the worker. See Bypassing the Worker (Worker Error) (below).

1. On the sidebar menu, open the Worker selection drawer.

2. In the Search By list, select an option:

   • Last Name, First Name, Network ID, or State ID: Go to step 3.
   • My Favorites: Go to step 5.

3. In the Search field, type the required information. After you type the minimum number of characters (minimum varies), suggestions appear and the Search button becomes active. To clear the Search field, click the x next to the field.

   

4. Either click the Search button or click a suggestion.

5. In the worker search results or favorite workers table, select one or more workers.

   

6. Click the Add Worker button. The worker’s network ID appears on the sidebar menu. The worker count appears in the Worker selection drawer.

   

7. To remove a worker, click the Remove button (trash icon).
8. To add additional workers, go to step 2. You can add up to 25 workers.
9. When you are done, add a detail (optional) and complete the mystery item (below).

When the mystery item is missing a worker, but a Hennepin County worker is not assigned to the case, bypass the worker and complete the mystery item.

1. Optional: Add a detail. See Adding a Detail (next).

2. Click Bypass Worker on the sidebar menu to complete the mystery item.

   

You can add a detail about the mystery item.

1. Click the Add Detail button on the sidebar menu.

   

2. Type the detail (up to 100 characters).

3. Click the Save Detail button.

   

4. When you are done, complete the mystery item. Do the applicable procedure.
   • Bypassing the Worker (Worker Error) (above).
   • Completing a Mystery Item (below).

When you are done processing the mystery item, click Complete on the sidebar menu. The mystery item is removed from the mystery items list and an entry is added to the Recent Actions table on the My ECF page.

If a mystery item is not related to any case or person and does not belong in ECF, you can send it to the recycle bin to remove it from ECF. Examples: junk mail faxes, accidental scans or uploads about workers instead of clients, unreadable or unidentifiable content.

1. To help recover the item, if necessary, click the Add Detail button on the sidebar menu, add a detail, giving the reason you are sending the mystery item to the recycle bin, and click the Save Detail button.

2. Click Send to Recycle Bin. The mystery item unlocks and closes. It is removed from the mystery items list and added to the recycle bin list with a status of Pending Removal.

   

You can transfer a mystery item to another mystery items list.

1. On the sidebar menu, click Transfer.

   

2. In the Transfer to List list, select a work area or Unknown.

   

3. Click the Transfer to List button. The mystery item unlocks and closes. It is removed from the current mystery items list and added to the selected mystery items list.

• Opening a mystery Item locks it, so other workers cannot open it.
• Closing a mystery Item with the Unlock and Close button unlocks it.
• Unless the worker unlocks the mystery Item, it remains locked for 24 hours and then automatically unlocks overnight.
• A lock icon indicates that the mystery Item is locked.
• To view the network ID of the worker who has locked a mystery Item, hover over the lock icon. If you need the mystery Item unlocked sooner than the automatic release time, contact the worker. To view the worker’s contact information, click the link in the Error column. In the popup message, click the worker’s network ID.

While viewing a mystery items list, click the star next to the list name to add or remove a mystery items list favorite.

Mystery items list favorites appear under Mystery Items on the sidebar menu.

You can favorite up to 5 mystery items lists. As you approach the maximum, a message appears on the sidebar menu.
